I would like to have my class/event video-recorded; whom should I contact?

If this is a to be posted on WVN or webCafé (available only to classes) please make that request at the same time and indicate all additional cross listed courses/sections this should be posted to in the notes section of the request form. Also include an exact Title if you have one. Please indicate the purpose of the video recording in the notes section - i.e. will the video recording be of a guest speaker, a review session? How will it be used later, etc.? Should the main focus of the recording be on the speaker or should the focus be on the presentation content? If extra copies are needed be sure to request them in the multi-media section of the request form. *Please note that we only accept class recording requests from faculty and their support staff. If you are a student and need your class recorded, you must contact your professor for them to approve and request the recording.

I have reserved a room in the Wharton Complex and would like to use the technology in the room. Who should I contact to get access to the equipment?

Technology usage and technician assistance requests, regardless of whether fees are applicable, should be reserved by making an online request. Wharton faculty may directly make an online request, but they are encouraged to work with their Academic Computing Representatives who will facilitate their technology requests.

I submitted a request yesterday but have not received a confirmation yet. How do I know my request is scheduled?

After you submit your request, you will receive an automated notification from Public Technology with a link to your submitted request. Your request will be reviewed within two business days. Requests submitted after 5:00pm are rolled over to the following business day. Requests submitted after hours on Fridays, or anytime Saturdays and Sundays will be reviewed on Monday at the earliest. Our online form uses the server time which may or may not be the same as the time reflected on your computer’s display. You will receive autoconfirmations once your request is approved and also after it is scheduled. Once it is schedule, you can review your technology reservation under our Reservations menu

What is the best way to get my presentation file on to the classroom computer?

It is always good to have at least two ways to access your files. An online method like email, webCafé or network drives are very common. A good back-up to that is a CD-R, DVD-R or USB key. A laptop is not necessary unless you prefer using your laptop or unless your presentation requires an application not installed on the classroom machines. It is very important that you test all presentations that were created on your laptop in the classroom beforehand especially multi-media presentations and self created DVD-R’s in case there is a difference between your laptop build and our classroom PC’s. If you require assistance loading your files onto the in-room computer, you can request technician assistance via an online request. Faculty can also ask their Academic Distributed Representative for assistance.

I have a presentation that needs to be loaded onto the resident PC in the room of our event. Where can I email it to you and what is the file limitation?

In an effort to ensure you have all the most recent versions of files for your event, Public Technology can not accept any files that need to be pre-loaded for an event via email. This will eliminate any chance of files not reaching your event due to system outages or last minute technician assignments.

What can I do to ensure my or my guest speaker’s presentation goes smoothly?

Test out all computer and video presentations ahead of time. You can ask your Distributed Representative for assistance or request an Instructional Technology technician to help you test your media. This is especially important for multi-media presentations or self created DVD’s.

It is the night before my event and I have a last minute request needed for tomorrow. Who should I contact?

Last minute requests should be directly communicated to a Public Technology technician. You can contact us by phone at 215-898-4898 or 215-898-2575 (off hours) in addition to emailing us at class-tech@wharton.upenn.edu.

My club is hosting a movie night. Can we reserve in-room technology to show our movie on DVD?

Yes, you can reserve any classroom for this purpose. Since there may be an associated in-room technology fee for some students/clubs, we recommend reserving the MBA Lounge as a more cost-effective alternative. You should test movies on DVD ahead of time to ensure compatibility in the event the DVD is foreign.

I would like to receive training on using the equipment in the classroom; what training options are available?

Training on the installed equipment is available through your Administrative or Academic Distributed Representative. You can also request training from us. To do this, please use our online form or call us at 215-898-4898 to arrange a time. Be sure to indicate which functions you are most interested in learning about.

When is it necessary to use the lectern or wireless microphone?

A microphone is needed for voice reinforcement if your voice is naturally soft or you are in a large space like the auditorium, G60, F95, F85. It is rarely needed in the flat floor rooms unless you are getting recorded. The wireless and lectern microphones provide the best quality audio for a video or audio recording.

What equipment is available to students for loan?

Students in my class will be presenting short videos as part of their class presentations. They will need to borrow video cameras. What arrangements should I make?

Contact us in advance to ensure that adequate equipment is available for your students. Instruct your students to submit technology requests to us directly to make arrangements for their equipment.

How long does it take for my recording to be posted to WVN or webCafé?

We have a turnaround time of 48 hours. This includes requests for DVDs and duplications. In most cases, the requests are completed much sooner. Please reference the Multimedia section of our Policy and Guidelines for more information.

How long do class recordings stay online?

Class recordings are deleted at the end of the semester unless special arrangements have been made to keep them longer. Please contact your Academic Distributed Representative to make these arrangements.

I am a student and would like a video recording of my class. Who should I contact?

We only accept class recording requests from faculty and their support staff. If you are a student and need your class recorded, you must contact your professor for them to approve and request the recording.

I would like to do a videoconference; what arrangements should I make?

Videoconferencing is available to faculty and staff only. Please contact your Administrative or Academic Distributed Representative to assist you with requesting this service online. We ask that you request your videoconference a minimum of two weeks in advance and provide more time if you know your call will involve multiple connections or needs to be bridged. ISDN Videoconferencing is currently available to Wharton School faculty and staff in the following classrooms: Steinberg Hall-Dietrich Hall 209, 215, 350, 351, 1201, 1203, 1206 and 1020. IP videoconferencing is installed in all Huntsman Hall classrooms as well as SHDH 350, 351, 1201, 1203, and 1206. Please include the following helpful information to expedite preparations for your conference: How many people will be attending the video conference on campus and at the remote location? Who is the technical contact person for the remote location? Will additional multimedia be part of the conference; eg. PowerPoint, Document Camera, etc? Who will be responsible for line charges in the case of ISDN calls?

I need to have software installed on the classroom computer(s) for my class(es). Who should I contact?

Wharton faculty and staff must contact their Wharton Computing Representative. Non-Wharton faculty and staff may send email to labs@wharton.upenn.edu for software installation requests and a Wharton Computing labs group representative will contact you. Please review our software installation policy for more information.

I need to reserve a lab for my class or special event. What should I do?

You can reserve a lab by logging into and completing our online lab reservation form here: http://web.wharton.upenn.edu/lab_reservation/index.cfm with your Wharton login. If you do not have a Wharton login, then send an email to labs@wharton with the name of your class/event, the dates and times needed and the number of attendees you are expecting. Priority is given to academic classes. For more information about reserving a lab, please consult our lab reservation policies under Policy Guidelines.

I sent my document to one of the public printers but it is not printing. Who should I contact?

You should email the Student Support Center: support@wharton.upenn.edu or during normal business hours call them at 215-898-8600 or visit them in JMHH F35. Please provide the name of your document, the name of the printer you sent it to and the number of the computer you were working on. You'll find the number sticker on the left side of the monitor. If you were in a Group Study Room, then provide that room number.

I was working on one of the lab machines and saved my file, but now I can't find it. What should I do?

First check the public "D" drive. This is the default save location and the only location other than a flash drive accessible to you for file retrieval. If you do not see it there, you should email the Student Support Center: support@wharton.upenn.edu or during normal business hours call them at 215-898-8600 or visit them in JMHH F35. You should provide the number of the computer you were working on and the name of the lost file. You'll find the number sticker on the left side of the monitor. If you were in a Group Study Room, then provide that room number.

I have a Macintosh. Is there anything I need to know about using the classroom technology?

If your macintosh does not have a VGA output be sure to bring your adapter.

Is the wireless network available in the classrooms?

No, any wireless network access found in the classrooms is due to bleed over from the group study rooms and the forum.
